Case Administrator I or II

The Clerk's Office of the United States District Court for the Northern District of Iowa is accepting applications for a full-time permanent Case Administrator I/II in its Cedar Rapids, Iowa headquarter office. The incumbent maintains the official case events summary on the docket from opening to final disposition. The incumbent's work hours will be 8-5:00 p.m. with one hour for lunch.

 

REPRESENTATIVE DUTIES:

  • Appeals: Process notices of appeals, and appeal-related documents. Process opinions and close appeals. Make summary entries on all documents and proceedings. Receive and docket all terminating documents. Perform quality control on attorney/Court docketed entries. Accept, review and process documents. Review filed documents to determine conformity and take appropriate action and follow up with rules, practices, and filing requirements. Prepare correspondence regarding file inquires, docket sheets, and other file request information. Set schedules for briefing and record preparation. Refer cases to judges for action. Rule on motions as permitted by local rules.
  • Check for prior or prohibited filing. Verify attorney's authority to practice. Monitor for release of exhibits and sealed documents. Verify and issue summons.
  • Determine fees required. Inform customers of required fees. Receive payments and issue receipts. Secure funds in cash register. Balance cash drawer at end of the day. Process credit card payments for filed documents.
  • Create and process new case file. Assign case numbers to judges and/or magistrate judges. Open cases in case management system. Docket initial opening events. Perform criminal docketing by applying the rules of the Speedy Trial Act. Sort, classify, and file case records. Maintain integrity of the filing system by such means as monitoring proper access to records and maintaining timely and accurate filing of documents. Retrieve files and make copies of records for court personnel, attorneys, and others. Certify court documents and ensure data quality. Make summary entries of documents and proceedings. Receive and docket terminating documents. Perform quality control on attorney-docketed entries. Prepare and distribute judgments, orders and notices.
  • Prepare, ship and retrieve records from the appropriate Federal Records Center. Scan, copy, file case records. Process e-mail received from electronic filers. Receive and stamp incoming documents. Maintain court files. Transmit records to appropriate court. Ensure event codes are entered accurately.
  • Operate a variety of copying and records equipment. Answer and route incoming calls.
  • Assist the public in use of computerized databases. Provide basic information to public, bar, and the court.
  • May perform case administration duties and/or provide training or assistance to employees performing case administration duties, and administrative tasks such as financial transactions.
  • Perform other duties as assigned.

 

QUALIFICATIONS:

  • Candidate should have at least one year of specialized experience equivalent to work at the CL-23 level for placement at the CL 24 grade, step 1, or at least one year of specialized experience equivalent to work at the CL-24 level for placement at the CL 25 grade, step 1.
  • Candidate should have at last two years of specialized experience equivalent to work at the CL-23 level for placement at the CL 24 grade, steps 2-25, or at least two years of specialized experience equivalent to work at the CL-24 level for placement at the CL 25 grade, steps 2-25.
  • Experience as a legal secretary or paralegal will generally satisfy the special experience requirement. Likewise, relevant federal government experience may warrant placement at a step higher than entry level.
  • Specialized experience involves work experience commonly encountered in law firms, legal counsel offices, banking and credit firms, educational institutions, social service organizations, insurance companies, real estate and title offices, and corporate headquarters or human resources/payroll organizations.
  • Examples of Specialized Experience: Progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures that demonstrate the ability to apply a body of rules, regulations, directives, or laws and involve the routine use of specialized terminology and automated software and equipment for word processing, data entry or report generation.
  • Candidate must possess: excellent customer service skills, exceptional communication skills, both orally and in writing, ability to exercise mature judgment and to manage multiple tasks simultaneously, and evidence as a strong team player who is flexible in a changing environment. Attention to detail is critical.
  • A paralegal degree, court experience, or experience as a legal secretary is preferred but not required.
  • Experience with software such as WordPerfect, Word, Windows, Excel, Spreadsheets, PowerPoint, and Trial Director, should be noted in the cover letter.
  • Incumbent will be provided the opportunity to engage in training to gain experience with the Court's automated systems.

ADDITIONAL INFORMATION FOR APPLICANTS:

Salary

  • The starting salary is negotiable within the indicated range, depending upon the applicant's qualifications. The position may be classified between a CL 24, Step 1 with a starting salary of $30,095 and a CL 25, Step 25 with a maximum salary of $41,563. (See QUALIFICATIONS above for particular requirements) CL-24 position has promotion potential to the CL-25 grade.
